The job

The co-owner had linked Asana and the Jobber CRM with Zapier for years. He then rebuilt his workflows as Next-Gen Zaps by pointing Claude at his apps. The Zaps copy leads, update job cards, file estimates, send notices and text new leads within a couple of minutes. Zapier agents watch all 14 Next-Gen Zaps and suggest fixes. Claude builds each Zap and he tests it and checks the data lands on the sheet.

Tool: Zapier Next-Gen Zaps

What happened

Inquiry to signed job conversion is up at least 15%. The follow up Zaps catch 10 to 15 leads a month that would have been missed.

About 12,500 automated steps a month replace work the office once did by hand, which the co-owner puts at 50 to 100 hours a week at a minute or two a step. The rebuild also found two faults. Answering service calls were reaching no one and new leads were not reaching the tracking sheet. Both are fixed.

Before you believe it

Zapier wrote the story, so it is a vendor story. The 15% rise and the hours are the co-owner's own figures and the page does not show the before and after counts. The 50 to 100 hours is an estimate at a minute or two a step. The firm bought Zapier years ago, so some of the gain predates the AI rebuild.

Here is a list of the steps my office does by hand when a new lead arrives: [STEPS]. Turn them into a numbered workflow with a trigger and one action per step. Mark any step that updates a record without creating one if it is missing. List the test cases I should run with real data before I switch it on.
