The job

The CFO scans the week's supplier invoices and uploads them to Tofu. Tofu reads each invoice line by line and posts every line to the right cost code in QuickBooks. Before this, mixed invoices were booked as one line and keyed in at weekends. He checks the lines against the invoice on screen.

What happened

Month end close fell from about 40 hours to 40 minutes to an hour a week plus about an hour at month end.

Accuracy rose from 80 to 85% in month one to about 99% by the time of the story. The firm handles about 400 supplier invoices a month and about 40,000 euros of monthly food spend. That spend is now split across ten to twelve cost lines instead of one.

Before you believe it

Tofu wrote the story, so it is a vendor story. The hours are the CFO's own account, not a timed study. The CFO is not on the payroll and does the books at night after a day job, so the saving is against his own spare time. The 14 staff count does not include him. Spot check the coding yourself for the first months, as he did.
